This Privacy Notice explains how we at Ivybank Lodge use the personal data we collect about you.

What Data We Collect And Why We Collect It

When you make a booking with us, we collect the names of the guests who will be staying, an address, email address and telephone number. We also collect debit or credit card details in order to process payment in accordance with our terms and conditions.


How We Use The Information We Hold On You

We use your address as part of the card payment processing in order to validate the card.

We will use your email address to send confirmation of your booking. Occasionally, we may need to contact you by email prior to your stay to inform you of any important information in connection with your stay.

We will not use your telephone number to contact you unless in an emergency or we have been unable to contact you by email.


How Your Data Is Stored

All of the personal and debit or credit card data you supply, as part of the booking process, is stored securely on our booking system provided by Siteminder who are fully PCI DSS compliant.

Neither we nor Siteminder will share any of your personal details with any third party, unless there is a legal reason for doing so.



We do not use or share any of your personal details for any marketing purpose.


Guest Registration

We are required by law to collect the following information on all our guests. We do this by asking you to complete a registration form on arrival.


For British, Irish or Commonwealth guests:

  • Name and nationality

For all other guests:

  • Name and nationality
  • Passport number
  • Details of next destination

The completed forms are stored securely. We are required to keep these forms for twelve months.

Access To Your Personal Data

You have the right to request details of the personal data we hold about you.  You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administration, legal or security purposes.
